RESPONSIBILITIES:

 

Administration

 

·       Be responsible for setting up, monitoring and managing user accounts for the various solutions vis-à-vis the firm as and when required 

·       Handling the administration of the various solutions (including uploading or downloading of content, checking and arranging for payment of relevant invoices)

·       Provide assistance with ad hoc special legal technology projects and related matters as well as general administrative support to the Legal Technology team

 

Training

 

Develop an ongoing legal technology training programme for the firm to achieve consistency, predictability and ease of planning and development; and work with the Legal Technology team as required to develop training strategies to meet specific needs of the end-user community to promote the adoption and deployment of new legal technology software as and when implemented.

 

Organise and deliver hands-on training of legal technology solutions for various groups of lawyers and staff (both existing and new hires). This includes:

 

·       presenting and/or training end users in a manner appropriate for the content and audience, which may include one-on-one training sessions, classroom training, remote training, e-learning, multimedia, floor support, product demo and print and electronic documentation

·       demonstrating the operations of software to end users on ad hoc basis

·       identifying training needs via training requests

·       attending trainings by software vendors to familiarise with the software/technology being rolled out

·       managing training event logistics online or otherwise, from start to finish such as coordinating and scheduling all aspects of classes including creating training reports, scheduling conference rooms, provision of refreshments, sending invitations/reminders/confirmations, and keeping records of training attendance, and coordinating with various departments for the necessary support required for the training

 

Develop Tech-Related Material

 

Develop course outlines, exercises, instructional materials, and self-guided learning tools covering topics related to the Firm's approved software, hardware and mobile devices as required. This includes:

 

·       designing, writing and maintaining print and electronic documentation, including user guides, quick reference manuals and tips

·       participating in training meetings or conference calls and/or working groups to prepare for adoption, upgrades, writing materials, and learning processes

·       working with Tech/Legal Tech teams to continuously improve and update the content of training materials to coincide with system enhancements so as to ensure training materials are maintained in line with updated software

·       building a knowledge library to aid individual learning

·       developing other training materials and videos for the Tech Department, KIT Department, and/or online learning via learning management system for the firm on ad hoc basis

 

Deployment of Technology

 

Where possible, contribute to the development of new legal services solutions for document/information intensive-defined legal work processes.

 

Work with the Legal Technology team in evaluating and testing automated templates, new systems or processes, and new legal technology being trialled or implemented as requested. This includes:

 

·       supporting technology adoption and implementation including QA of deployments, creating and administering surveys and other information request material seeking feedback from end-users

·       collating feedback as part of the release life cycle

 

SKILLS AND REQUIREMENTS:

 

·       A bachelor's degree is required (one in Computer Science, Information Systems or related field is preferred)

·       Excellent IT skills, in particular Outlook software applications, MS Office, Visual Basics including Macro

·       Ability to gather, analyze, and manipulate data in MSOffice (or other software) to meet functional and technical specifications

·       Ability to programme, code and use data analytics techniques (with proven ability to produce and deliver a functional technology solution) is particularly desired

·       Possess technical aptitude/ experience with RPA, data visualisation, or any other automation solution is advantageous

·       Experience and comfort using video editing platforms is advantageous

·       Experience as an IT Trainer either from a legal or professional services background

·       Excellent verbal and written communication skills in all media

·       Experience in instructional design and writing documentation for technology training

·       Possess a high standard of personal presentation and excellent ability to deliver presentations to all levels and audience size of staff/management for instructional purposes

·       Experience in developing e-learning/multimedia courseware and supporting technology via end user training initiatives

·       Experience delivering training within a professional services environment and be able to effectively communicate new ways of working to non-technical staff

·       Ability to create high level training courses that incorporate experiential learning activities to meet the needs and culture of the audience

·       Knowledge and proficiency in a wide variety of software programmes, including Windows 10, MS Office 2016/2019 (Word, Powerpoint, Excel and Outlook), Office 365, DMS etc.

·       Ability to work independently

·       Possess a mature, strong and confident yet diplomatic personality

·       Ability to display a positive, high-energy attitude

·       Ability to handle confidential and sensitive information with the appropriate discretion

·       Possess a high degree of meticulousness and ability to multi-task on multiple projects concurrently and respond appropriately to shifting priorities, demands and timelines

·       Equipped with good organisational and administration skills needed to manage time well and prioritise effectively
